Start with the version of your insurance documents that applied on the date of the accident. A current renewal may differ from the policy in force when the loss occurred. Keep the complete documents together rather than relying on a screenshot of the insurance card.
Build a complete policy packet
- Declarations: locate the named insured, listed vehicles, effective dates, selected coverages, limits and deductibles.
- Policy form: read the definitions and coverage provisions that explain the selected insurance.
- Endorsements: identify changes to the underlying form.
- Exclusions and conditions: flag restrictions and requirements that may affect the claim.
The declarations summarize the policy; they do not replace the complete contract. Ask the insurer for missing forms and endorsements and keep its response.
Use a four-column reading worksheet
| Document and page | Provision | Your question | Written response |
|---|---|---|---|
| Declarations | Collision deductible | Is this the deductible being applied? | Record the answer and date. |
| Endorsement | Vehicle use | Does this change coverage for the trip? | Keep the referenced wording. |
| Claim letter | Coverage position | Which form and provision support the position? | Save the full letter. |
Separate facts from interpretations
Write down who was driving, which vehicle was involved and the purpose of the trip. Flag work, delivery or rideshare use, an unlisted driver, a borrowed vehicle, or a recent policy change for individualized review. Do not assume that a marketing description answers those questions.
If a claims representative says a loss is excluded, request the explanation and cited policy language in writing. An unexplained telephone summary is difficult to compare with the actual forms. Preserve envelopes, emails and attachments with the dates received.
Questions to bring to a consultation
- Do I have the complete policy for the accident date?
- Which coverage and insured person are under review?
- Is the disagreement about coverage, fault, injury causation or value?
- What notice or other requirement has the insurer identified?
- Have I received a release or proposed settlement?
Do not delay a required notice while collecting a perfect packet. Ask promptly about requirements that apply to your facts. Reporting a claim and protecting all legal deadlines are separate issues.
